Eras Personal Statement Not Uploaded To Post Office

Within your MyERAS account, you may create personal statement(s); identify the people who will write your letters of recommendation (LoRs); and release your COMLEX-USA and/or USMLE transcripts. You will also assign most documents to the programs, track the status of these and any additional ERAS documents. Applicants should research programs individually to determine those requirements before making document assignments.

  • The EFDO is the Designated Dean's Office for all fellowship applicants whether a US medical school graduate or an international medical school graduate. Applicants should visit the EFDO website for information about submitting their documents for upload or obtaining contact information when additional information is needed. The EFDO no longer accepts paper documents for fellowship applications. Documents sent via mail or courier to their offices will not be processed.

  • EFDO Online Services allows applicants to upload certain document types themselves; as well as send requests to your medical school to upload their MSPE and medical school transcript. A unique link to the EFDO Online Services account for each applicant is only available within MyERAS on the Additional Documents page under Documents.

Below you will find an overview of each of the main documents used in ERAS. For detailed information, please see the Documents section of the MyERAS user guide.

Tracking Documents

The dashboard provides a snapshot of the progress of various documents and their statuses in MyERAS.

  • Uploaded but Unassigned LoRs - Count of LoRs that have been uploaded but are not assigned to any programs, highlighting that assignments may need to be made.

  • Unassigned Personal Statements - Count of Personal Statements that have been saved but are not assigned to any programs, highlighting that assignments may need to be made.

  • Latest USMLE Request Status - Current status of the latest request made to NBME or ECFMG (for IMG Residency) after at least one program has been applied to with the USMLE transcript assigned.

  • Latest COMLEX-USA Request Status - Current status of the latest request made to NBOME after at least one program has been applied to with the COMLEX-USA transcript assigned.

  • Status of Additional Documents - Status of all other applicable documents as either Not Uploaded or Uploaded.

Photos

The Photo is most often used by programs to help identify applicants when reporting for an interview. Applicants must upload their own Photo in EFDO On-lineServices.

A photo file should not exceed these requirements:

  • Dimensions: 2.5 in. x 3.5 in.

  • File Size: 100kb

Personal Statement

The personal statement may be used to personalize the application to a specific program or to different specialties. There is not a limit to how many personal statements you may create; however, you may only assign one (1) for each program.

Note: There are a number of websites that provide examples of Personal Statements. Do not copy any information from these sites and use them in your Personal Statements without giving credit to the author. This is considered plagiarism. See the ERAS Investigation Policy.

Special Note About Formatting

Personal Statements must be created in plain text formatting. HTML and other special text formatting, such as bold, italics, underline, text color, and alignment, are not allowed. Personal statements created outside of MyERAS should be done in a plain text word processing application such as Notepad (for Windows users) or Text Edit (for Mac Users) to ensure text stays as clean as possible.

LoRs

LoRs must be uploaded through the ERAS Letter of Recommendation Portal (LoRP) by the LoR Author. It is the applicant’s responsibility to follow up with LoR Authors regarding LoRs.

  • Creating LoR Entries - You must create a LoR entry for each LoR you intend to use during the application season.

  • Confirming LoR Entries - You must confirm a LoR entry before an associated Letter ID can be generated.

  • Uploading LoRs - The Letter ID contained in the LoR Request form must be used to upload the associated LoR through the Letter of Recommendation Portal (LoRP).

  • Assigning LoRs - Applicants may assign of up to four (4) LoRs to each program.

USMLE

The USMLE transcript is required by many M.D. residency programs as part of an application to be considered for their positions.

  • Authorizing the Release for the USMLE Transcript - Applicants must authorize the release of their USMLE transcript in order to make assignments of the USMLE transcript to the programs they designate.

  • Paying for the USMLE Transcript - The NBME or ECFMG (for IMG Residency) charges a one time fee of $80 for transmitting USMLE transcripts to the programs designated by applicants.

  • Viewing the USMLE Requests Status Report - Applicants can view the USMLE Requests Status Report to track the status of their USMLE requests by program.

COMLEX-USA

The COMLEX-USA transcript is required by many AOA-accredited and ACGME-accredited residency programs as part of a D.O. applicant’s application to be considered for their positions.

  • Authorizing the Release for the COMLEX-USA Transcript - Applicants must authorize the release of their COMLEX-USA transcript in order to make assignments of the COMLEX-USA transcript to the programs they designate.

  • Paying for the COMLEX-USA Transcript - The NBOME or ECFMG (for IMG Residency) charges a one time fee of $80 for transmitting COMLEX-USA transcripts to the programs designated by applicants.

  • Viewing the COMLEX-USA Requests Status Report - Applicants can view the COMLEX-USA Requests Status Report to track the status of their COMLEX-USA requests by program.

MSPE

Uploading: The EFDO is responsible for uploading the Medical School Performance Evaluation (MSPE or “Dean’s Letter”) into the ERAS system for fellowship applicants.

Assigning: Applicants must make assignments of the MSPE to the programs they designate.

Medical School (MS) Transcript

Uploading: The EFDO is responsible for uploading the MS Transcript into the ERAS system for fellowship applicants.

Assigning: Applicants must make assignments of the MS Transcript to the programs they designate.

American Board of Surgery In-Training Examination (ABSITE)

The ABSITE transcript may be required for surgical fellowship training programs only. Applicants applying to surgical fellowship training programs should research the individual programs’ requirements for the ABSITE before uploading or assigning.

Uploading: The EFDO is responsible for uploading the ABSITE Transcript into the ERAS system for fellowship applicants.

Assigning: Applicants must make assignments of the ABSITE Transcript to the programs they designate.

IMG-Only Documents

ECFMG Status Report: The ECFMG Status Report confirms the ECFMG certification status for an IMG residency applicant. This report contains the month and year that examinations were passed for ECFMG Certification, but does not contain your USMLE transcript.

Uploading: The ECFMG is responsible for uploading the ECFMG Status Report into the ERAS system for IMG fellowship applicants.

Post-Training Authorization Letter (PTAL or "California Letter"): The Postgraduate Training Authorization Letter is issued by the Medical Board of California. The PTAL must be assigned by those IMG residency applicants who apply to programs in California.

Uploading - The EFDO is responsible for uploading the PTAL into the ERAS system for IMG fellowship applicants. Please contact the EFDO to assist you with the upload of this document.

  Am I automatically registered with the NRMP when I register with ERAS?

No. You must also register with the NRMP to participate in the Match process. You can register at www.nrmp.org beginning on September 15, 2017.

  How can I submit supporting documents to ECFMG?

All supporting documents are submitted electronically for your ERAS application. For detailed instructions, please visit the Document Submission page.

  How do I track the status of my documents?

To track the status of your documents, log in to MyERAS and go to the Additional Documents page. Visit the Letters of Recommendation page in MyERAS to track the status of your LoRs.

  Can I obtain copies of my documents that were submitted to ERAS Support Services at ECFMG?

ERAS Support Services at ECFMG does not provide copies of documents it receives. You will need to obtain copies of those documents from their original sources.

  How long do documents take to process?

Documents will take up to five business days to process once submitted.

  Is a “Dean’s letter” acceptable as an MSPE?

While ERAS Support Services will accept a “Dean’s letter” from your medical school, we strongly encourage medical schools to provide an MSPE that follows the MSPE guidelines detailed in the AAMC’s Recommendations for Revising the Medical Student Performance Evaluation (MSPE). MSPE has replaced the term “Dean’s letter” to better describe the purpose of this document, which is to evaluate the performance of the medical student. It is not a letter of recommendation.

  I have only passed one USMLE Step or Step Component. Can I still apply to programs via ERAS?

You may apply to programs via ERAS prior to passing all exams necessary for ECFMG Certification. However, to participate in the Match, NRMP requires that the passing results of all exams required for ECFMG Certification (USMLE Step 1, Step 2 CK, and Step 2 CS) are available by the NRMP Rank Order List Certification deadline. For the examination requirements for ECFMG Certification, refer to the ECFMG Information Booklet. For results reporting turnaround times for USMLE Step 1, Step 2 Clinical Knowledge (CK), and Step 2 Clinical Skills (CS), refer to the USMLE Bulletin of Information. For timing of Step 2 CS results, refer to the Step 2 CS Score Reporting Schedule.

Programs may require that certain exam results be available before they invite an applicant for an interview. It is your responsibility to research or contact your programs of interest to learn their specific requirements.

  Why aren’t my letter writers listed in MyERAS?

Applicants must Add and “Confirm for upload” letter of recommendation writers in order for them to appear in MyERAS. Applicants must do this for all LoRs, including those LoRs reused by repeat applicants. For detailed instructions on how to add a letter writer and confirm your LoR Authors, please refer to the MyERAS Residency User Guide available on the Tools for Residency Applicants page on the AAMC website.

  What is SOAP?

The National Resident Matching Program’s (NRMP) Supplemental Offer and Acceptance Program® (SOAP®) allows eligible applicants who did not obtain a residency position in the Main Residency Match to apply for available positions that were not filled in the Match. SOAP takes place during Match Week. For detailed information on SOAP, including eligibility requirements and schedule, visit the NRMP website.

  How long does it take to process my MyERAS request for a USMLE transcript?

It usually takes one to two business days from the time you assign the transcript to a program and apply for your transcript to be processed. Be sure to assign it to the programs that you would like to receive it.

  Is there assistance for letter writers or applicants who are having trouble using AAMC’s Letter of Recommendation Portal?

Visit or direct your letter writers to the AAMC’s Letter of Recommendation Portal page of the AAMC website, or have them contact the AAMC for support at 202-862-6249 or send AAMC ERAS Helpdesk a message.

  How can I request that ERAS Support Services at ECFMG expedite processing of my supporting documents?

ERAS Support Services at ECFMG is not able to expedite the processing of supporting documents. We process supporting documents typically within five business days. If there is a discrepancy with your document, you will receive a notification through the MyERAS message center.

  Does ECFMG automatically transfer my medical school transcript into my ERAS application?

No. However, if you have a copy of your medical school transcript, you may upload it yourself using ECFMG’s OASIS. If your medical school participates in the ECFMG Medical School Web Portal (EMSWP) ERAS program, you will need to contact your medical school to submit this document via EMSWP ERAS on your behalf.

If your medical school does not participate in EMSWP ERAS, and you are unable to secure a medical school transcript, you may request, through the ERAS Support Services section of OASIS, to have a copy of your medical school transcript that was submitted for ECFMG Certification purposes transferred to your ERAS application.

  Are official student copies of my MSPE and medical school transcript acceptable?

Yes. If you have official student copies of your MSPE and medical school transcript, you may upload them yourself via ECFMG’s OASIS. If your medical school participates in the ECFMG Medical School Web Portal (EMSWP) ERAS program, you will need to contact your medical school to submit these documents via EMSWP ERAS on your behalf.

  Does my medical school participate in the ECFMG Medical School Web Portal (EMSWP) ERAS program?

To find out if your school participates in EMSWP ERAS, use the MyECFMG mobile app or contact the Dean’s office of your medical school.

  How do I reuse my documents if I applied last ERAS season?
